NoteFlow 2.0: a notes app inside WordPress, rebuilt from the ground up

NoteFlow 2.0 notes app inside WordPress showing folders, a shared launch checklist and an assigned issue comment

NoteFlow is a free WordPress plugin that adds a notes app to the admin: folders, checklists, tags, shared notes with live co-editing, and comments and issues on posts inside the editor. Version 2.0 shipped on 24 September 2026.

Code in WordPress core. Plugins on 20,000+ sites. A camera on every build. This one is about the smallest plugin I maintain, and why it got the biggest rebuild.

Why a rebuild

NoteFlow 1.x was a simple notes screen in the WordPress admin. It had a flaw I couldn’t patch around: every NoteFlow user on a site could see and edit every note. Fixing that properly meant changing how notes are stored, owned and shared, so on 24 September I shipped NoteFlow 2.0, rebuilt from scratch. Notes are private by default, and every request checks who owns the note and who it is shared with. If you ran 1.x, your notes are still there, shared with everyone as they were; new notes are private.

Discuss posts where the work is

NoteFlow adds a panel to the editor where everyone who can edit a post can talk about it. Comment on any block from the block toolbar; blocks with open comments are highlighted. Raise an issue and assign it to a teammate. @mention people and they are told in the toolbar and by email. Reply, resolve, reopen. The Posts screen shows how many comments and issues are open on each post. It works on posts, pages and custom post types, in the block editor and the classic editor, and nothing ever appears on your site.

Write the way you think

Rich notes with headings, lists, quotes, code, links, tables and images. Checklists with round tick boxes and a 3/5 progress count in the list. Shortcuts as you type: [] starts a checklist, – a list, # a title. Type [[ to link any post, page or note. Paste from Google Docs or Word and the formatting is cleaned up. Autosave, so there is no Save button to forget.

Work together

Share a note with people as viewers or editors, or with everyone who can use NoteFlow. Avatars show who has the note open and who is typing. Changes from other people appear in your note on their own. When two people edit at once, NoteFlow merges changes to different paragraphs, list items and table rows; if you both changed the same line, it asks which version to keep. Version history shows who changed what, with preview and restore.

Everything else

Folders, tags, pins, search, list or gallery view, light and dark appearance with five accent colours, keyboard shortcuts, and Recently Deleted with 30-day recovery. Modules you can switch on or off: a dashboard widget, quick capture (Alt + Shift + N), a notification bell in the toolbar, reminders, content notes attached to posts, templates, and import and export.

Private by default

Each note belongs to the person who wrote it. Choose which roles can use NoteFlow. Notes never appear on your site, in search, in feeds, or in the posts REST API. NoteFlow makes no requests to outside services, and the Freemius SDK and promotional notice from 1.x are gone.

What’s free

Everything in NoteFlow is free, and what’s free stays free. No account to create, no tracking.

The numbers

Today NoteFlow has about 10 active installs and 1,130 downloads. That is the starting line, and I’ll report the numbers as they move, the same way I do for every plugin here.

Try it

Install NoteFlow from WordPress.org, or read the code on GitHub at github.com/wpankit/noteflow. Requires WordPress 6.0 and PHP 7.4; tested up to 7.1. If you use it with a team, tell me what you built with it.
